FEARRINGTON HOMEOWNERS
ASSOCIATION
BOARD MEETING
May 14, 2009
Meeting was called to order by
President Thomas at 7:00 pm. Those in attendance were Peter Thomas, Ken
Talbot, Walter Jernigan, Carol-Ann Greenslade, Carol Kurtz, Harriet McGraw,
Ray Andrews, John Hammond, Barbara Thompson and Leonard Kreisman.
In addition, Laura Summe and Debbie Buckley represented CAMS; twenty three
(23) residents were also in attendance.
The minutes of the March 3rd Open Meeting were accepted as presented.
Peter introduced Laura Summe and pointed out that Community Association
Management Specialist (CAMS) was the new management agent for FHA and that
the other five service areas had their own management associations. Laura
was identified as the Community Manager serving the Village and Debbie was
the person on duty five days a week from 9-12 in the FHA office. Laura then
noted that CAMS was started in the 1990s and now has responsibility for a
number of Community associations including Fearrington. She is becoming
acquainted with the Village and she will be working closely with Board
members to see that financial reports are both accurate and on time, that
repairs are properly bid and that covenant issues are handled promptly. This
in addition to dealing with whatever else is needed to see that the Village
is properly managed. Debbie will be working with the many volunteers who run
some of the office services.
Ray Andrews then introduced John Bierling who described the efforts that are
being taken to make sure that the Village is prepared for a flu pandemic,
should one occur. John pointed out that a major function was to keep people
informed with accurate and timely information. He noted that if you get
sick, you need to take action such as staying home He talked about social
distancing meaning staying at least an arms length away from others.
Ken Talbot reiterated the need for residents to become familiar with their
covenants. The need to secure permission for tree removal, as well as
architectural changes was noted. There are covenant descriptions on the
website as well as in the Directory and the appropriate form for seeking
approval for changes or additions is available on the website or in the FHA
office.
Carol reported that a new AV system would be installed over the summer and
that the large room would be painted. She noted that the Gathering Place
continues to be heavily used.
Walter distributed and commented on the budget pointing out that we were on
budget and that he moved some of our funds around to gain the Greatest
possible return.
Barbara reported that the Easter egg hunt was attended by about 80 children.
The adopt-a-highway group continues its cleanup activity the last Saturday
of each month and volunteers would be welcomed. Barbara also noted that she
would be leaving the Board at the end of her term and she has recruited
Linda Lang to assist her for the rest of the year. She noted that Linda
plans to run for the Community Affairs position in November.
Carol-Ann commented that the new trails and walk Fearrington have been
enthusiastically received by residents. All 125 of the walking kits have
been sold and benches have been installed along some of the paths. While
some flowers have been planted she suggested that residents might want to
add to those plantings from their own gardens. She noted that the renovation
to the Swim and Croquet kiosk had been finished as well as a variety of
paving jobs. Carol-Ann will be leaving the Board at the end of June and here
are some things on her wish list. Of great concern was the need for each of
us to be considerate of one another. Among the other items on her wish list
was the need for residents to obey the 25 mile an hour speed limit and to
really stop at stop signs. She urged residents not to litter and to pick up
and properly dispose of dog poop. She reminded us that dogs need to be under
control at all times and residents need to be realistic about what their
annual contribution of $105.80 buys. Carol-Ann received a rousing round of
applause at the end of her presentation demonstrating how much the residents
appreciated her work over these five years.
Harriet noted that covenant issues still occupy her time and that she looks
forward to working with CAMS as a way to make sure that all residents are
fairly treated and that the steps associated with covenant compliance become
an established routine.
John reported that some of the developers in Chatham County have gone under
and that construction activity has slowed. He also mentioned the need for
caution because of the increasing problem with ticks.
Peter then opened the meeting to comments and questions from residents.
Among the issues discussed were the various challenges faced by the new
managing agent the major one being familiarization with the various special
areas that make up the Village. Another resident asked about the $99 fee
charged to buyers and Laura indicated that there was a need to set up a new
account for that resident.
Another resident wondered whether the Board might consider supporting the
Fire Station since the Golf League runs a tournament in the fall which
supports the local Fire Station. Peter indicated that the Board would look
into that possibility. Another resident talked about cigarette butts and the
potential fire hazard given the dry conditions and John Bierling said that
his group was working on the issue. There was another round of applause for
Carol-Anns contributions and Peter adjourned the meeting at 8:40 pm.
